Voice Messaging/Voice Prompts/IVR
Ahhhhh, the subject that seems to light a fire in everyone! You HATE it, but, you know there is no getting around it. Voice Messaging and Voice Prompts! When you call your doctor, you are told how important your call is and then told about the latest flu virus. You call for the hottest concert tickets and are told (while you wait) about the NEXT hot concert or theatre experience. You even are prompted when you call your child's school. For the principal, press 1, for the School Nurse, press 2 etc., etc., We are EVERYWHERE!
IVR is a system to automatically manage incoming calls. It can link phone callers with a computer database. It can accept a question, access the company's database and provide a caller with the information they are seeking. It can also take information from the caller, convert it to data and input the data to the database.
Regardless, since this is an unavoiadable phenomenon, make sure you hire a voice talent that will calm a harried prospective customer with their friendly, nonthreatening voice; make an irate customer holding chuckle with some on-hold comedy spots; or give a confused prospective customer reassurance that they have reached the correct branch and that they WILL be helped shortly and valued long-term!
